About us

Omnilex started by building the AI workspace lawyers actually want to use, including the world's first AI-powered legal commentary, a living layer of legal understanding that redefines how lawyers work. In just one year, that product became the daily tool of thousands of legal professionals across Switzerland, Germany, and Liechtenstein, and a leading legal AI workspace in those markets.

Now we are using that foundation to build something even bigger: the AI-native law firm. Every case our lawyers solve becomes a productized, AI-native service. Legal capability that scales, compounds, and can be deployed on demand for the next client. With a 4.5M raise, we're scaling internationally. You'll be joining a young, passionate, and dynamic team of 17.

The role

You are the person who keeps the office running, the hiring pipeline moving, and the team feeling like a team.

You will work side by side with our Chief of Staff, our recruiter, and the founders, with real ownership from week one. Close enough to see how decisions actually get made at a company at this stage, and to be part of making them.

And you will learn HR and Talent at the point where it is being rebuilt. AI is not a side topic here; it is what we build. You will use it daily in how we source, hire, and onboard, and you will learn what people operations looks like when it is designed around AI from the start.

Nobody expects you to walk in knowing it all – just bring curiosity and enthusiasm for figuring things out along the way.

What you will do

Office management

  • Keep the Zurich office running day-to-day: supplies, deliveries, post, meeting rooms

  • Be the point of contact for building management and our office suppliers

  • Set up and maintain workplaces so everyone has what they need to do their best work

Recruiting

  • Research and identify candidates for our open roles

  • Run outreach end-to-end, from first message to booked interview

  • Keep our pipelines in Ashby accurate and current

  • Build reporting on our pipelines and help automate the parts of hiring that should not be manual

People and culture

  • Run onboarding for new joiners so their first week is a good one

  • Organise team events, dinners and offsite logistics

  • Look after birthdays, work anniversaries and the small things that add up

This list will not stay static. As you grow into the role, you will take on more across operations.

Who you are

  • You are in the office at least four days a week, Mondays included. We are flexible on which hours, as long as they are consistent

  • You are not afraid to reach out to people you don't know. Writing to a stranger is interesting to you, not intimidating

  • You gain energy from conversations. Talking to candidates and colleagues is the part of the job you would look forward to

  • You are structured and organised. What you own does not fall through the cracks

  • You are proactive. You notice what needs doing and do it without being asked

  • You want to build a career in HR or Talent and are looking for the place to start

  • Fluency in German and English. Swiss work permit or EU/EFTA citizenship

Bonus:

  • First experience in recruiting, HR, office management or events

  • Familiarity with an ATS (Ashby, Greenhouse, Personio) or Notion

  • You have built something with AI, not just used it. An automation, an agent, a workflow — tell us what it does
